HOW DO I BOOK A FOOD TRUCK?

The Long Answer:

So you are having an event and are in need of a Food Truck (or lots of Food Trucks!) and want to know how to get the right one.  You are in the right place!  AZ Feastivals is Arizona’s Food Truck Matchmaker!  We work with almost every Food Truck in the Valley (well over 100 of them) and run over 200 of our own events each year so we know our way around placing the right trucks in the right events.  There are so many things to consider when placing a Food Truck such as:

  • How many Food Trucks does my event need?  How do I estimate how many attendees will eat?
  • How many people can they each serve in an hour?  Will my event get stuck with long lines?
  • What kind of food do they serve?  Will it be the right kind of food for my customers?
  • Are they reliable?  Will I be scrambling for a replacement truck the day before my event?
  • Does the Food Truck have the correct licensing for my event?  Are they approved by the Health Department?

The list goes on and on but we will be the ones to worry about that!  We will be your only contact and will manage the contact with the trucks, any licensing or insurance requirements, replacement trucks if something happens to the truck booked at your event as well as any other details.

WHAT IS THE FEE?

The Short Answer:

For events where we are simply booking a Food Truck for your event, we do not charge you a fee.

The Long Answer:

The first question we always get is, “Does AZ Feastivals charge me a fee for booking trucks?”.  Typically the answer is NO.  In most cases, the Food Truck pays a commission to us and that is the only payment we receive.

The only time a fee will be discussed (and always ahead of time) is if AZ Feastivals is hired as a management company at an event that requires onsite staff or equipment and/or multiple site visits that are more than 40 miles away from our office.  Since this would be a much larger scale event with extensive involvement by our staff, this does not apply to most events and will be agreed upon on a case by case basis depending on the unique characteristics of the event and promoter.  If you feel like this might fit your event and want more information, please feel free to contact us.

DO I NEED TO OFFER A GUARANTEE?

What is a Guarantee?

When you guarantee a Food Truck $500, you agree to pay the difference between the total sales and $500.  If the Food Truck does $350 in sales, you would then be invoiced for $150 at the end of the event.  If they do $600 in sales, you would not pay anything because they made more than the guaranteed amount.

What if I don’t have a budget for a guarantee?

Not all events require a guarantee. If you host an established event or we have some way to predict sales, we do not require a guarantee. Often we can work with events based on hearing about your event and marketing. Just let us know that you can’t offer a guarantee and we will see what we can do.

Why a Guarantee?

A Food Truck is not just a small business, but a micro business.  It is usually run entirely by a staff of 4 or less and has a lot of financial risk with food spoilage, vehicle maintenance and weather.  There are constantly new Food Trucks starting up but at the same rate are Food Trucks going out of business.  The industry is not an easy one to make it in and every event must make a certain amount of money to cover food, labor and vehicle costs invested to arrive at the event.

While every truck has a different amount needed to arrive, the majority must make at least $500 to know they didn’t lose money that day.  With only 52 Fridays and 52 Saturdays a year, making each one count financially is critical to the survival of the business.  On very busy weekends during the year, Food Trucks might require a $750 – $1000 guarantee because they know there are other events they could attend that would generate well over that in sales and that date is one of maybe 15 days of the year when that is probable.

Please understand that we would love to be at every single event but must protect the businesses by placing them in events where they have a chance of making a profit and staying in business.  A guarantee helps us protect the Food Trucks from losing money.

A wedding is an event to remember for a lifetime and choosing a caterer that is a good fit for your big day is very important!  Once we learn more about your event, we will give you options for Food Trucks/Chefs that are best suited for your event.  We are happy to arrange tastings, send menus and customize the service to fit your needs.

We have several different ways to serve your guests, both with and without the actual Food Truck, depending on your event.  A few of our setups are as follows:

  • The Food Truck parks outside and serves guests through the window as they order from the pre-selected menu.
  • The Food Truck parks and serves a selection of main dishes from the window and guests serve themselves sides from a buffet table. (This speeds up the process for large crowds but keeps the Food Truck experience.)
  • The Chef arrives with prepared food and sets up a buffet table. (Similar to a traditional caterer, but with street food!)
  • The Chef arrives and prepares the meal in an onsite kitchen.

Pricing:
Since weddings are a custom event, we can provide a price estimate once we narrow down the Food Truck and menu options. Typically options start at $12-15 per person and go up from there depending on the food selected.  There is a $1500 minimum for wedding services.

Food Trucks can be a great addition to your School or Church event!  We are happy to help find the right Food Trucks and arrange for them to attend your event.  The frustration we hear most frequently from other organizers of these events is that the Food Truck either backed out last minute or did not show up when they booked the Food Trucks without AZ Feastivals.  Because we can send replacement Food Trucks from our own large events on Friday and Saturday evenings, we can offer you the peace of mind of not having to deal with not having food just hours before your event.

We understand that schools and churches usually do not have a budget for a guarantee for the Food Trucks.  It is very important that the Food Trucks make at least $500 in order to not lose money at a service.  Because of this, we can only place trucks at your event if there is a high probability this will happen.  (The rule of thumb is that 10% – 15% of your attendees will eat, depending on the type of event and time of day.  If you assume the average ticket price is $8, the Food Truck will need to serve 63 people to make $500 which means there must be at least 630 people expected to attend, maybe a little less if it is a dinner time event.)

We are commonly asked if we will book Food Trucks that will give a donation back to the event host.  We are able to offer the “Book a Truck” service to you for free because we ask the Food Trucks to pay AZ Feastivals a small fee for each event we book them at.  Our fee combined with a donation often leaves the Food Truck without any profit.  Because of that, we will not ask a Food Truck to pay both AZ Feastivals and your organization.  If you are interested in using Food Trucks as a fundraiser, it is best for you to reach out to the Food Trucks independently giving you the ability to earn the most amount of money.

Food Trucks are the way to go! We can arrange for either Food Trucks to serve your guests or for a private chef to come in and cater food in or possibly cook at an onsite kitchen! The Valley’s Street Food scene includes some of the most impressive chefs around and we are sure to have one that will keep your guests talking about the food for weeks.

We are always happy to arrange for the Chef to create your favorite street food for your event without bringing the Food Truck! Complete the form at the bottom of the page and we will come up with a solution best suited for you.

We are happy to schedule Gourmet Food Trucks (not route trucks as you would see on construction sites) to stop by your place of business and feed your employees on a daily, weekly or monthly basis. We can tailor the types of Food Trucks, dates and times to your schedule. Employees will either pay for their own meals or we can establish a ticket system for the company to pay half or all of each meal item. We can customize this program to your needs.

We will coordinate the scheduling, take your employee feedback into account to ensure the right trucks for your group are attending, email menus to help employees plan ahead and find replacements when trucks break down or can not make their scheduled stop. Since we work with almost every Food Truck in the Valley, you will see a wide variety stop by.

Large festivals (5000+ people) have a lot of moving parts and things to manage! At AZ Feastivals, we manage well over 200 of our own events each year and are very experienced at organizing and running the Food and Drink aspect of the event. Our intimate knowledge of the Food Trucks including how fast each one can serve, what type of food is on the menu, size and maneuverability of the truck, local city guidelines and licensing, which Food Trucks are popular in different areas and demographics, etc. helps us to create the best suited food options for your attendees.

We will start by meeting with you to learn the scope of your event and our role in it. If needed, we can manage all aspects and simply let you know when the pre-planning is done. We can also have staff onsite to park the trucks and manage that section during the event. We will help manage licensing and can attend and answer questions at any special event meetings with the city departments.

Because of the extensive involvement of our staff, a management fee might be charged depending on your needs. This will be discussed in the initial discussions. We do require that we are the only ones booking food and drink at the event – too many cooks in the kitchen can cause a big problem at an event of this size!

Yes, we work with Beer Trucks!! Unfortunately, we can not bring one out to a private party due to licensing restrictions.

If you are planning a large event (5000+ people) and are interested in passing off the task of organizing the drink portion of the event, we are happy to help! We have experience with working with non-profit organizations to secure a license from the AZ Liquor Board, planning the drink portion of the event and managing the area onsite during the event. We have connections within the local beer and wine industries and will help put together an experience best suited for your attendees.

We frequently receive requests for Food Trucks at walks, runs and other similar events. In our experience, Food Trucks do not do well at this type of event either because participants are ready to leave once they are done or they already received free food/drink on the course. While the event will bring in large numbers of people, it is not an environment that has a high demand for food sales and we can not place a Food Truck there unless a guarantee is offered. Because these events are usually longer than the average service, we require a $500 guarantee per 3 hours of service.

That being said, some walks and runs have carnivals, beer gardens or other special events that draw people to stay. There is often a demand for food sales in this portion of the event and we would be happy to discuss helping out with this portion.

Absolutely! The Street Food Scene has some very talented, professionally trained Chefs and they are definitely available for Pop-Up restaurants, private parties, weddings and other special events that don’t have space for a Food Truck, etc. We are an outside the box group of thinkers and love unique projects. For many, many years before the Gourmet Street Food Scene was around, there were Food Trucks driving from construction site to construction site serving pre-packaged and quick, hot food to guys working in areas that didn’t have enough food service to accommodate them on their 20-30 minute lunch breaks.  They are more like concession stands and do not include gourmet food but instead prepackaged candy/chips, sodas, burritos and a few other quick, cheap and hot meals.  They are a segment of the industry that many call “Roach Coaches”.  While we do not allow them in our events because we are not trying to serve a need but create an experience, we do recognize the purpose they have served and the need they still fill today.  We will not book Route Trucks at your event.

We work specifically with the other end of the Food Truck Spectrum, and that is Gourmet Food Trucks.  These Food Trucks are either driven by a professionally trained Chef or someone who might not have gone to school but is one of those people who just have a knack for creating delicious food.  Gourmet Food Trucks usually source from local farms when they can and create very custom menu items from scratch.  Eating at a Gourmet Food Truck is much like eating in a Gourmet Restaurant – only Street Food Style! Many of the Chefs in the Trucks have actually been Head Chef at some very impressive restaurants, resorts and country clubs around the Valley.  Stop by a Feastival soon and experience it for yourself!  If you ever want someone to walk you through your options at an event, feel free to stop by our Concierge Table to chat with us.  We can tell you about every Chef and Menu!

We can help but would need to take over all booking of food from that point forward.  Having 5 different people arranging food in one event can lead to a mess once the event begins with either too much food, all the same style of food or pricepoints that differ too greatly leaving one person too busy and another making no sales.

Please let us know when completing the form that you already have food available, either free or for purchase.  It is very important that an event has a well rounded selection of types of food as well as the right ratio of vendors to attendees.  Trust us, too many cooks in the kitchen always trips someone up!
